Holborn Carpet Cleaners Terms and Conditions

Carpet cleaning equipment ready for a scheduled serviceThese Terms and Conditions apply to all carpet cleaning, upholstery cleaning, rug cleaning, and related domestic or commercial cleaning services provided by Holborn Carpet Cleaners ("we", "us", or "our"). By making a booking, confirming an appointment, or allowing our team to start work, you agree to these terms. Please read them carefully before placing a booking, as they set out the basis on which our services are supplied. These terms are intended to be clear, practical, and consistent with UK consumer law and standard business practice.

The service agreement is formed between you, the customer or authorised representative, and us. In these terms, "you" refers to the person or organisation requesting the service, including any tenant, homeowner, landlord, managing agent, or business customer who is authorised to make the booking. Where a booking is made on behalf of another person or entity, the person placing the order confirms that they have the necessary authority to do so and to accept these terms on behalf of the end user.

Carpet cleaners Holborn services are supplied on the basis of the information you provide at the time of booking and any inspection carried out before or during the visit. Accurate information is important because prices, equipment choice, drying times, and expected outcomes may depend on factors such as floor type, access, condition, and soiling level. We may refuse or pause work if the description provided is materially inaccurate or if the site conditions present a health, safety, or legal concern.

1. Booking Process

Bookings may be made through the channels we make available from time to time. When you request a service, you should provide truthful and complete details, including the type of cleaning required, the approximate number and size of items or rooms, any known stains or damage, and any relevant access requirements. A booking is only confirmed when we accept it and provide a scheduled time or date. We may decline a booking if we cannot safely or practically deliver the service requested.

The schedule we provide is an estimate and may be affected by traffic, previous appointments, equipment issues, weather, access limitations, or other unforeseen circumstances. We will aim to arrive within the agreed window, but exact arrival times cannot always be guaranteed. If the premises are not reasonably accessible, or if entry is delayed, we may need to reschedule, adjust the scope of work, or charge an additional waiting fee where appropriate and lawful.

You are responsible for ensuring that the property is ready for the appointment, including clear access to the areas to be cleaned and the removal of fragile items, valuables, and obstacles where possible. Holborn carpet cleaners may move light furniture if agreed in advance, but we do not normally move heavy, fixed, or high-value items unless specifically stated. If special arrangements are needed, these must be requested before the visit so that we can assess whether they are suitable and safe.

2. Service Scope and Customer Responsibilities

The exact service to be provided will be based on the booking confirmation, any written quotation, and the condition of the items on arrival. We may alter our method, cleaning products, or equipment if needed to achieve the best practical result or to avoid damage. However, not all stains can be removed, not all odours can be eliminated, and not all materials respond in the same way to cleaning. We do not guarantee the restoration of items to a like-new condition.

Cleaner inspecting carpet condition before treatmentYou must tell us in advance about any sensitive materials, pre-existing damage, insect activity, mould, water ingress, or prior treatments such as stain guard, dye transfer, or chemical cleaning. If you fail to disclose relevant information and this affects the outcome or causes damage, we will not be responsible for resulting loss to the extent permitted by law. We also rely on you to inform us of any vulnerable persons, pets, or special site rules that may affect how the work is carried out.

Holborn carpet cleaners reserves the right to refuse treatment of materials that are unsafe, unsuitable, or likely to deteriorate because of their age, composition, or condition. If we consider that the cleaning method requested is inappropriate, we may suggest an alternative approach or decline to proceed. Any advice we give is based on our experience and the information available at the time, but it does not amount to a guarantee of outcome.

3. Prices and Payment Terms

Prices are normally based on the quotation provided or, where no fixed quotation is possible, on our standard rates and the actual time, labour, materials, and equipment required. Any estimate is given in good faith, but the final charge may change if the scope of work differs from what was described at booking, if additional tasks are requested on site, or if unexpected conditions materially affect the job. We will aim to explain any material change before continuing.

Payment is due in the manner and by the time agreed when the booking is made. We may require a deposit, partial payment, or full prepayment for certain services, especially where specialist equipment, stock, or substantial time is reserved. Unless we agree otherwise in writing, invoices must be paid on the day of service or within the stated payment period. Late or overdue payments may result in additional charges, subject to applicable law.

We accept payment methods as notified at the time of booking. Any bank fees, card charges, chargeback costs, or currency conversion costs imposed by your payment provider remain your responsibility unless prohibited by law. If a payment is reversed after services have been delivered, we may recover the amount due through lawful means, including any reasonable recovery costs associated with non-payment.

4. Cancellations, Rescheduling, and Waiting Time

You may cancel or reschedule a booking, but we ask that you give reasonable notice. If you cancel at short notice, we may charge a cancellation fee to reflect time reserved, staff allocation, and any materials already committed to the job. The amount of any fee will depend on the notice provided and the circumstances of the booking. Any fee charged will be fair and proportionate.

Where a booking is rescheduled, we will try to offer a new appointment, subject to availability. If we arrive at the property and cannot gain access, or if the work cannot proceed because the site is not ready, we may treat this as a late cancellation or a failed appointment. Waiting time may be charged if our team is kept on site beyond a reasonable period because access, approval, or preparation has not been provided.

We may cancel or rearrange an appointment where necessary due to illness, severe weather, equipment failure, unsafe conditions, or circumstances outside our control. If we do so, we will make reasonable efforts to inform you promptly and offer an alternative date. We will not be liable for delay or non-performance caused by events beyond our reasonable control, provided we take reasonable steps to minimise disruption.

5. Liability and Limitations

Professional carpet cleaning process in progressWe will carry out services with reasonable care and skill. However, liability for cleaning work is limited because many items have hidden defects, unknown prior treatments, or age-related wear that may affect their response to cleaning. Normal consequences of professional cleaning, such as slight changes in texture, shading, pile direction, or drying appearance, are not defects if they arise despite reasonable care and are consistent with the nature of the material.

To the maximum extent permitted by law, we are not responsible for indirect or consequential losses, loss of profit, loss of business, loss of opportunity, or any loss that was not reasonably foreseeable at the time the contract was made. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot lawfully be excluded under UK law.

If we are found liable for damage caused by our negligence, our responsibility will normally be limited to the reasonable cost of repair, re-cleaning, or replacement of the affected item, taking into account fair wear and tear and depreciation. Holborn Carpet Cleaners does not accept responsibility for pre-existing faults, concealed damage, unstable fixtures, poor workmanship by third parties, or failures caused by inaccurate information supplied by you.

6. Waste Handling and Environmental Compliance

We aim to handle waste and wastewater responsibly and in accordance with applicable UK environmental and waste regulations. This includes taking reasonable steps to avoid unlawful discharge, inappropriate disposal, or contamination of drains, land, or communal areas. Where our cleaning process creates waste water, residues, packaging, or disposable materials, we will manage them in a safe and lawful manner, having regard to the nature of the service and the facilities available on site.

You are responsible for informing us of any site-specific rules relating to waste removal, drainage, recycling, restricted access, or hazardous materials. We will not remove, transport, or dispose of controlled waste, biohazard material, needles, sharps, asbestos, or other regulated substances unless we have expressly agreed in advance and are properly equipped and authorised to do so. If such material is discovered during the visit, we may stop work immediately and advise you to arrange appropriate specialist handling.

If a property requires special waste arrangements, you must tell us before the appointment. We may need to refuse work where the disposal method is unclear, unsafe, or inconsistent with legal obligations. When we leave behind packaging, protective coverings, or disposable cloths, these may remain your responsibility unless we have agreed to remove them as part of the service. We reserve the right to charge additional costs for lawful disposal where such costs are necessary and agreed.

7. Access, Safety, and Property Conditions

By booking with us, you confirm that the property is safe for our operatives to enter and work in. You must ensure that the premises have suitable access, working utilities where required, and any permissions needed from landlords, freeholders, occupiers, or management companies. If access is restricted by security procedures, parking limitations, or building rules, you must advise us in advance so that we can plan accordingly.

You should remove or secure small valuables, fragile ornaments, loose cables, and other delicate items before we begin. Although we will act carefully, we cannot accept liability for items left in unsafe positions or for damage caused by pre-existing instability. If our team believes that the environment is unsafe, we may pause or refuse to continue until the issue is resolved. This includes risks arising from exposed wiring, structural hazards, aggressive animals, or hazardous substances.

Where we use water, cleaning solutions, or equipment that may affect nearby surfaces, you should make sure that the areas around the work zone are suitably protected. We may advise on reasonable precautions, but the final responsibility for safeguarding personal belongings and sensitive fittings remains with you. If carpets, floors, or upholstery are already compromised by age or damage, we may recommend that no cleaning is carried out.

8. Complaints, Re-Inspection, and Corrections

If you are dissatisfied with any aspect of the service, you should notify us within a reasonable period after completion so that we can review the matter. We may ask for photographs, a description of the concern, or an opportunity to return and inspect the item. This helps us determine whether the issue is linked to our work, the item’s condition, or circumstances outside our control. Failure to report a concern promptly may limit our ability to investigate.

Where a genuine issue caused by our service is identified, we may offer a re-clean, correction, or other appropriate remedy at our discretion, provided this is a suitable and proportionate response. We do not guarantee that a second treatment will achieve a particular result, especially where the material is worn, heavily stained, or previously damaged. Any remedy offered does not mean that we accept liability beyond what is required by law or these terms.

Our records, including job notes, photographs, quotations, and correspondence, may be used to assess complaints, verify the scope of work, and support any follow-up action. If a dispute cannot be resolved informally, either party may use the available legal remedies. Nothing in this clause prevents you from exercising statutory rights that apply under UK consumer protection law.

9. Data, Changes to Terms, and Governing Law

Service terms and conditions document for cleaning servicesWe may update these terms from time to time to reflect changes in law, business practice, or our service offering. The version in force at the time of your booking will normally apply to that booking unless a change is required by law or is agreed otherwise. If any part of these terms is found unlawful or unenforceable, the remaining provisions will continue in effect.

We may process personal data in connection with bookings, invoicing, service delivery, customer administration, and lawful business record-keeping. Any such processing will be carried out in line with applicable data protection law. For legal and operational reasons, we may retain service records for a reasonable period where necessary to handle disputes, comply with tax obligations, or meet regulatory requirements.

The contract between you and us, and any dispute or claim arising from or connected with it, shall be governed by and interpreted in accordance with the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, unless mandatory law requires otherwise. These terms are intended to be interpreted fairly and reasonably in a manner consistent with the nature of professional cleaning services.

10. Final Provisions

Final section of a carpet cleaning service agreementNo variation to these terms shall be binding unless agreed by us in writing or otherwise confirmed through a valid booking record. Any failure by us to enforce a right or provision on one occasion does not waive that right or provision for the future. You may not assign your rights or obligations under the service agreement without our consent, but we may assign or transfer our rights where this does not materially reduce your protections.

Nothing in these Terms and Conditions is intended to create rights for third parties under the Contracts (Rights of Third Parties) Act 1999, unless expressly stated otherwise in writing. These terms form the entire agreement between the parties in relation to the services described and replace prior discussions or representations to the extent permitted by law. If there is any conflict between these terms and a written quotation or booking confirmation, the more specific document will apply to the extent of the inconsistency.

By continuing with a booking for carpet cleaners in Holborn, you acknowledge that you have read, understood, and accepted these Terms and Conditions. We recommend keeping a copy for your records. If you are uncertain about any part of the agreement, you should seek clarification before the service begins. Once work starts, you confirm that you are satisfied to proceed under the terms set out above.
